A preview is not always the file
An email attachment, a cloud link and a photograph of a screen can all look like a document on a phone. Only one may contain the original PDF. Open the attachment's file details and check the name and extension. If it is a web form or a portal, use its official download or print function where available.
A screenshot fixes the content at the screen's pixel dimensions and may cut off edges. It can include notification banners or interface controls. Enlarging it onto A4 cannot restore the original text detail. When the PDF exists, supply that file rather than a picture of it.
Look at all the pages
Phone previews sometimes make a multi-page file look like one scrolling image. Check the page count and download the complete document. Review the last page and any reverse side instructions. Confirm whether the print should include every page or only named page numbers, and whether blank pages have a purpose.
Check the physical page size if the document contains tickets, a form or scale-sensitive information. A PDF made for a phone screen may not have standard A4 dimensions. Do not assume a screenshot's aspect ratio identifies its paper size. Tell the print team what the final output must do.
Send one clear version
Use a sensible file name, such as an order reference followed by a revision. If you share a cloud link, check that the recipient has access without your personal login. Avoid links that expose a whole folder when one document is enough. Password-protected PDFs require a deliberate handling arrangement; do not send the password in a public message.
Write the specification beside the file: number of copies, colour or monochrome, single- or double-sided, finished size and any staple or binding. “Print this” is incomplete even for a two-page document. A clear instruction reduces the back-and-forth when you are working away from a desktop computer.
An appointment letter example
Imagine you need a four-page letter with a small coloured diagram before a meeting in Warrington. Open the PDF, check that the appointment details are complete and decide whether the diagram needs colour to remain useful. One duplex copy would normally occupy two sheets. A blank final page or an instruction to submit pages separately could change that choice.
If the information is sensitive, agree a transfer route first. For small public-access printing, LiveWire describes local facilities; check the branch, access and current charges directly. For a finished business pack or repeat order, contact the print team with the complete requirement. Wait for readiness confirmation before collection at Guardian Point.
Check the link as a recipient, not as its owner
A cloud file can open correctly on your phone because you are already logged in. The print team may see an access request instead. Test the sharing permission without exposing unrelated files. Give access only to the material needed for the job and remove unnecessary access when the agreed process allows it.
Portal documents can also expire or change after the link is sent. Where permitted, obtain the final PDF and retain the version you approved. If the source system requires printing through a particular route, follow its instructions rather than bypassing them with a screenshot. The output needs to meet the receiving organisation's requirements.
For a deadline, put a short specification into the message body so it remains understandable even if a file-link permission fails. State the page count and required copies, but do not repeat sensitive contents there. Once transfer is arranged, check that the team received the correct revision. A successful upload or share action on a phone does not by itself confirm the recipient has the usable production file.

Two questions before ordering
Can a screenshot be printed?
It can be output as an image, but detail and cropping may be unsuitable. The original PDF is preferable when available.
Does the contact form upload my document?
Use it to explain the job and arrange the appropriate file-transfer route. Do not assume a message has supplied the production file.
