An office move is a print audit, not just a new letterhead

Check business cards, stationery, visitor instructions, labels and forms when a Warrington organisation changes its address.

A visual explanation

Four address roles to keep separate

01

Trading

Where the business operates

02

Visitor

Where an appointment or collection is agreed

03

Delivery

Where goods are accepted

04

Registered

The administrative company record

Find the address in the places nobody remembers

Start with stationery, cards, envelopes, invoice templates, forms and presentation folders. Then check old PDFs, email attachments, event kits and labels. A new letterhead does not help if a sales pack still includes an old map. Assign an owner to each material and record whether it should be revised, replaced or retired.

Separate trading, delivery and registered-office addresses. They serve different tasks. A collector needs the actual agreed collection point; a legal or invoicing document may require different details. Do not move every address field to the same location without checking its purpose.

Business cards have a short information budget

Use current names, roles and contact routes. Small type becomes a practical problem on a compact card. Keep the hierarchy simple and proof the longest names. A QR code can supplement contact details, but it should not be the only way to reach the organisation.

Decide which details are stable before ordering a large quantity. A shared contact card or a smaller initial run may suit a period of staff or role changes. Confirm quantities per person, not only a total. A box of cards for someone who has left is not useful stock.

Letterhead needs a real document test

Test the design with a short letter, a long letter and a table. Check whether the content collides with the footer. If printed letterhead will pass through an office machine again, explain that use and ask about suitable materials and production. Decorative stock that performs poorly in the second printing stage can create unnecessary waste.

Keep any required company information accurate and legible. The business owner should approve the administrative details. Check the final proof rather than a copy-and-paste note supplied at the start, because layout changes can omit or truncate information.

Give visitors one reliable route

Update printed directions, parking instructions and reception signs as a connected set. Use a clear location and a working map or directions route. If delivery and visitor entrances differ, explain the distinction. Test the directions with someone unfamiliar with the premises.

For The Print Centre Warrington, the trading address is Unit 5 Guardian Point, Guardian St, Warrington, WA5 1AU. A registered office is a separate administrative location. The general lesson applies to any move: match the address to the reader's task, retain the approved version and remove superseded stock from active use.

Retire the old material deliberately

Create a short transition list showing what may still be used and what must stop immediately. A folder without an address may remain useful; a letterhead with the wrong administrative details may not. The business owner should approve the distinction. Avoid leaving staff to make different decisions about the same old stock.

Check documents supplied to partners. A venue may still hold an old brochure; an external designer may have an obsolete logo or address file. Give them one current reference and identify the revision. Printed materials often remain in circulation because nobody outside the office was told that the information changed.

At the next reorder, review the complete suite again rather than assuming the move audit solved every future change. A new contact role or delivery entrance can affect several pieces. Keep a small master register with the owner and file location for each item. That is a practical maintenance tool for a growing organisation, not an invitation to rebuild every design whenever one detail changes.

Two questions before ordering

Should I use the registered office for collections?

Use the trading or collection location agreed for the job. The registered office serves a different administrative purpose.

Can I reprint stationery without a new proof?

Check changed addresses, roles, telephone numbers and company details. A repeat still needs a confirmed current revision.
