A4 or A5? Choose the page for the person using it

A smaller sheet is a different reading experience

A4 is 210 × 297 mm; A5 is 148 × 210 mm. A5 is convenient for a pocket guide or a compact takeaway. A4 leaves more room for tables, diagrams and handwritten notes. These are finished sizes, not a promise that a supplier prints to every edge without a bleed or margin discussion.

Reducing an A4 layout to A5 scales each linear dimension to roughly 71%. A 12-point type size becomes about 8.5 points if everything is reduced together. That can make a neat document difficult to read. Reflow the content into the smaller format instead of treating reduction as a design shortcut.

Start with the most demanding page

Look at the widest table, the longest caption and any form field that needs writing space. If those elements do not work at the proposed size, redesign them before exporting. A larger page count can be more useful than a smaller type size. Put frequently used information where a reader can find it without unfolding or turning through several pages.

For a school careers event, a compact contact card can complement an A4 activity sheet. They serve different tasks. The card retains a route to the employer; the sheet provides space to work. Neither needs to imitate the other simply because both use the same logo.

Single-sided or duplex

Duplex output reduces sheet count, but it may make a worksheet less convenient if readers need to refer to one side while writing on the other. Check show-through on the chosen stock. Leave sufficient inner margin for punching or binding. A punched A4 handout and an A5 booklet also require different page arrangements.

A short handout should normally be supplied in reading order. Do not manually place two A5 pages on an A4 sheet unless the printer asks for that arrangement. Imposition is part of production. A home-made layout can put backs upside down or make trimming and page order harder to control.

Print a true-size review copy

When checking a PDF, choose actual size if you are evaluating physical type and spacing. “Fit” is useful for some desktop output but changes the scale. Adobe documents these page-sizing controls; the exact dialogue varies by software and printer. Check the result with a ruler if size is essential.

Use the review copy as a practical reading test. Can someone find the appointment time, telephone number or next step quickly? Can they write comfortably in the boxes? Does the page remain clear under ordinary office lighting? These questions give a Warrington print discussion a better starting point than a preference for the smallest possible sheet.

What reduction does to the reader's work

A form with adequate writing space at A4 can become frustrating at A5 even when the text is still legible. Measure the actual fields, not just the margins. If people must write several lines, their handwriting does not shrink automatically with the page. Reorganising the form may be more useful than reducing it.

Consider the setting. A person seated at a desk can handle several A4 sheets; someone standing during a site induction may prefer a compact booklet with a clear sequence. A small guide can be convenient to carry but awkward for a wide reference table. Choose the format for the difficult task, then make the easier pages fit around it.

When cost is the reason for changing size, compare the whole finished job. A5 may alter page count, folding, binding and packing. More small pages can offset the assumed paper saving. Ask for a practical alternative specification and use a true-size review copy to check that the saving has not been purchased by making the information harder to use.

Two questions before ordering

Is A5 exactly half the area of A4?

The ISO A-series is designed around halving sheet area. Rounded millimetre dimensions can give small arithmetic differences.

Should I supply a booklet as spreads?

Ask for the required file arrangement. Reading-order single pages are usually preferable unless a particular template is specified.
